Buying medicines from distributors: rate, invoice, credit and returns

Profit in a medical store is made at the purchase as much as at the counter. These habits keep the rate right, the stock right and the supplier happy.

1. Know the real rate

The PTR is the rate before GST. A scheme like ‘10 + 1 free’ lowers the real rate per pack: divide what you paid by all the packs you got.

  • PTR ₹80 with 10 + 1: ₹800 ÷ 11 = ₹72.73 a pack
  • Compare suppliers on the real rate, not the printed one
  • A scheme is a saving only if you sell the packs before they expire

2. Check the invoice when the parcel arrives

Before you sign, match the parcel with the invoice line by line.

  • Product and pack size
  • Batch, expiry and MRP
  • Rate, GST and free quantity
  • Short or damaged packs noted on the invoice

3. Enter the purchase the same day

A purchase entered late means stock that cannot be billed and a supplier balance that is wrong. Enter it the same day with batch, expiry and rack — reading the supplier’s bill file saves the typing.

4. Credit days and payments

Write down each supplier’s credit days and pay on time; a good payment record gets better schemes. Keep a running list of what is due to whom, and when.

5. Agree return terms before you buy

Ask each supplier how they take back near-expiry and damaged stock, and keep the answer in writing. Order by what sells, so fewer packs reach their expiry on your shelf.
